The Challenge
Murchison has worked in mental health for decades and is licensed in eight states. With experience in other private practices and a background in healthcare compliance, she knew security in her new practice was a priority. She said, “I wanted to make sure I was aligning all of my policies and procedures…with all of the different state and federal regulations.”
Murchison explored the best way to ensure HIPAA compliance for electronic health records and communication. While she decided to use Google Workspace for website-related tasks, she realized that her BAA did not cover all outside communication. She began researching HIPAA compliant communication companies.
Murchison documented the various companies she discovered and noted what each company did, including additional services and costs. As she searched, she also considered if the service she chose would be something that could grow alongside her practice.
One of her biggest considerations? Communicating with less technology-savvy patients and younger patients alike. “I have a lot of clients who are older gen Z’s and younger millennials…And so I was looking at limitations to the number of emails I can send. Do I want folks to have to type in passwords every time they need to get into a message from me?” Murchison said.
She wanted patients to feel at ease communicating. She needed a seamless process that still prioritized security.
The solution
After Murchison researched HIPAA compliant companies, she decided to meet with her top choices. She was immediately impressed with the customer service from the Paubox team.
“I was blown away by the customer service that I had when I talked to folks at Paubox and really that was kind of the selling feature for me,” she explained. “A lot of the information [I needed] was available online, but the readiness of Paubox to jump on a call with me and answer my questions and really make sure that it was tailored to specifically what I needed was [helpful],” Murchison added.
Cost was also a big consideration for Murchison, as her practice faced other start-up expenses. While she cared about her bottom line, she knew she wouldn’t want to sacrifice security. With Paubox, she was able to get the best of both worlds. Through her professional connections, Murchison was able to use a colleague’s referral coupon, which lowered the initial cost. Similarly, she found that many therapists on the East Coast spoke fondly of Paubox.
Now, anytime Murchison has a new client, she’ll send them an introductory email and communicate with them for billing, scheduling, and any other additional information needed.
Murchison occasionally communicates with other institutions and practices, such as primary care providers or college counseling departments.
The results
Murchison has been impressed with the Paubox team. “Every time I’ve had questions, I’ve reached out and I’ve just been really pleased with the speed of response and the willingness for people to jump on a Zoom call and walk me through things,” she said.
Now that Murchison is using Paubox regularly, her favorite aspect is that she doesn’t have to think about it, deal with passcodes, or learn new apps. “It’s just such a seamless way of integrating into what I would normally be doing without any extra time, without any extra thought,” she said.
Murchison believes Paubox is an excellent option for any small practice. “It’s almost a no-brainer to be able to have [Paubox] as part of your annual expenses.” For smaller practices, Murchison also thinks Paubox’s simplicity makes it stand out; it’s one less administrative burden for busy practitioners.
Now, Murchison loves recommending Paubox to others and sharing her experience finding a HIPAA compliant communication solution. Moving forward, Murchison plans to try Paubox forms to collect patient data. She’s excited to see her practice blossom and how Paubox can contribute to its success.
