Medplus Solutions is dedicated to providing pharmacy and related health services across Puerto Rico. It’s the largest long-term care pharmacy provider in the territory, serving 10,000 people each month. In addition to long-term care pharmacy services, MedPlus Solutions offers specialty pharmacy, care coordination, and population health services.

Challenge

Before trying Paubox Email Suite, MedPlus used Virtru, a portal-based solution. Portal-based solutions like Virtru require users to log in to see messages. For doctors, nurses, and case managers, who often are away from their desks caring for patients, this caused delays.

“Many of our communications are with nursing homes or doctor’s offices that serve nursing homes. Our previous solution required the email’s recipient to log in to see our messages. In many cases, this was problematic and caused delays,” Yassin said. “We wanted to provide our customers with a seamless, easy experience that was also secure.”

As a tech-focused, data-driven company, MedPlus Solutions takes security very seriously. It needed a HIPAA compliant email solution that was not so cumbersome for patients to use. 

Another drawback with Virtru is that it did not encrypt 100% of the emails MedPlus Solutions sent. Senders had to activate the encryption function and set up specific keywords in order to trigger encryption. As a result, fewer than 1 in 5 emails MedPlus Solutions sent were actually encrypted, even though the company had encryption capability.

 

Solution

To solve both of these problems, MedPlus turned to Paubox Email Suite. “With Paubox, we gained a very simple-to-use solution that provided 100% encryption of what we were sending out. Paubox makes it easy for our end users to receive documents and not have any issues accessing them,” Yassin said. “Simplicity trumps everything when you are trying to get information out to people so that they can make healthcare decisions.”

Paubox Email Suite is a HIPAA compliant secure email solution that does not require users to log in through a portal. Every email is encrypted—all a user needs to do is click “send.” Also, Paubox Email Suite is HITRUST CSF certified, the gold standard in the industry.

The implementation process was smooth and easy to complete. “The support team was super helpful,” Yassin said. With a single setup call, the MedPlus team was up and running.

As a tech-focused company, MedPlus also appreciates Paubox’s easy to use admin panel which offers robust reporting, including a log of all recent emails and how they were delivered.

 

Results

Before Paubox, MedPlus Solutions was only encrypting 17.3% of its emails. Now, using Paubox, 100% of MedPlus’s emails are encrypted—a total of almost 50,000 emails a month. “Everyone on our team is more productive because we don’t have to be waiting for information or taking time to activate security tools,” Yassin said.

In addition to improving security and ease of use, using Paubox Email Suite has saved valuable time for the MedPlus team. In 2019, MedPlus had an average of 7.3 calls each week requesting help opening an encrypted email, using up IT and call center staff time. With Paubox, those calls are gone, allowing MedPlus staff to spend more time helping clients and patients, in line with the company’s mission.
