Like many social services providers, Young Interventions receives funding from a state governing agency, The Regional Center.
This meant that when The Regional Center started requiring providers to offer HIPAA compliant email, Young Interventions needed to find a solution that would work for both its office and field staff.
This meant finding an encrypted email solution that would be simple enough to use for all employees in various locations, without requiring extensive training.
After looking at various options, Young Interventions settled on Paubox Email Suite Premium to make its email HIPAA compliant.
“Ease of use and meeting HIPAA regulations were our two most important items in our search,” said CEO Sharon Young. “Our employees have a range of computer abilities, so we wanted an encryption solution that would be user friendly to all staff.”
With Paubox, employees did not have to change their behavior and could write and send emails from their existing email platform without extra steps such as logging into a portal.
Paubox Email Suite Premium's additional features offer email security and protection against display name spoofing to prevent Southwest Autism & Behavioral Solutions from falling victim to an email breach.
In addition, the Premium level also provides email DLP (data loss prevention) which prevents unauthorized parties from accidentally or maliciously emailing data whose disclosure could put the organization at risk.
“Our staff does not need to remember to encrypt specific emails; they are all automatically encrypted, helping us stay compliant with the changing HIPAA regulations in regards to client-related documents and communication,” explained Young.
In the past 12 months alone, Paubox has encrypted over 50,000 emails sent by 37 Young Interventions staff members. Since Paubox encrypts all emails by default, no one had to spend any time wondering about whether or not to encrypt an email; it was done automatically. And all the email recipients had to do was click "open" to read an email - no password or portal required.
In addition, Paubox blocked over 3,000 spam emails, 43 emails containing viruses, and 191 phishing attempts, any one of which could have led to a security breach and a hefty HIPAA fine.
