Problem
Ho'okele often deals with client names, diagnoses, and summaries, so staff is required by law to encrypt data when emailing information to team members and people outside of the organization.
Prior to using Paubox, H'ookele staff would send protected health information (PHI) via fax or use code names via unencrypted email. Both practices are prone to error (sending a fax to the wrong number, forgetting to use a code name) and are not efficient.
Solution
Ho'okele was able to enable Paubox Email Suite Plus by making three configuration changes to its exchange server and firewall. This process took less than 30 minutes. After these changes were in place, all of Ho'okele’s outbound email was seamlessly encrypted by Paubox.
In addition, Ho'okele gained robust inbound email encryption and protection against email-based cyberattacks.
Ho'okele employees were not required to change any settings on their computers, nor were they required to install any apps on their smartphones.
In a nutshell, the Ho'okele Health team was able to reap the benefit of sending HIPAA compliant email without changing their normal email workflow.
Results
In the past 12 months alone, Paubox has encrypted nearly 43,000 emails sent by 13 staff members, blocked 219 viruses and 194 phishing attempts.
Since Paubox encrypts all emails by default, no one had to spend any time wondering about whether or not to encrypt an email; it was done automatically. And all the email recipients had to do was click "open" to read an email - no password or portal required.
